This Privacy Policy explains how Reps (“Reps,” “we,” “us”) collects, uses, and protects information when gyms and their staff use our gym management platform. It also covers data about gym members that we process on a gym’s behalf.
1. Who controls the data
For staff accounts, Reps is the controller of the account information needed to run the service. For member records that a gym stores in Reps, the gym is the controller and Reps is the processor — we handle that data only to provide the service to the gym.
2. Information we collect
Account and staff data
Names, email addresses, and authentication details for staff who sign in, handled through our authentication provider.
Member data
Information a gym enters about its members — such as name, phone number, subscription history, check-in activity, and door-access credentials. Phone numbers are stored in standard international format.
Payment data
Records of subscription sales and amounts. Card payment processing, where used, is handled by third-party payment providers; we do not store full card numbers.
Usage and device data
Basic technical information — such as log data, IP address, and browser type — collected to keep the service secure and working.
3. How we use information
- To provide, maintain, and improve the Reps platform.
- To authenticate staff and protect accounts against abuse.
- To process subscriptions, check-ins, and door access.
- To provide support and respond to your requests.
- To meet legal, accounting, and security obligations.
4. Sharing
We do not sell your data. We share information only with service providers who help us operate Reps — including authentication, database and hosting, payment, and smart-lock (door access) providers — and only as needed to deliver the service. We may also disclose data where required by law.
5. Data retention
We keep data for as long as an account is active and as needed to provide the service. When a gym closes its account, member and account data is retained for a reasonable export window and then deleted, except where we must keep certain records to meet legal obligations.
6. Security
Data is segmented per tenant, so one gym cannot access another gym’s records. We use industry-standard measures to protect data in transit and at rest. No system is perfectly secure, but we work to limit and respond to risks.
7. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, or to object to certain processing. Staff can exercise these rights by contacting us. Gym members should contact their gym, which controls their records; we will support the gym in responding.
8. International users
Reps is built for gyms across MENA and beyond. Your data may be processed in countries other than your own. Where we transfer data across borders, we take steps to protect it consistent with applicable law.
9. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the service or by email, and update the date above.
